Regional Facilities Manager - Massachusetts & Maine

The Regional Facilities Manager (located in Boston or Portland) reports to the Director of Property Management and is responsible for day-to-day operations throughout the portfolio all aspects of building maintenance, resident relations, budgeting, capital improvement planning, reporting, project management, emergency planning and long term planning of the portfolio. Negotiate and manage vendor relationships; ensure compliance with federal, state and local regulations; and ensure compliance with risk management and safety standards.


Essential Functions:

  • Prepares the annual operating and capital budgets with established budget guidelines in conjunction with the Operations team for all sites; determine five-year capital budgets.
  • Conducts pre-inspections to ensure that all sites are ready for required housing inspections.
  • Well educated on REAC with the ability to thoroughly walk each property to prepare them for the inspection and make any necessary repairs.
  • Working with Director of Property Management to develop maintenance procedures and ensure implementation.
  • Carrying out inspections of the properties to identify and resolve issues.
  • Monitor productivity in Onesite and determine training opportunities.
  • Establish, measure and manage key performance metrics for portfolio operation.
  • Knowledgeable in all areas; HVAC, Electrical, Plumbing and Environmental
  • Institute protocols and guidelines that are rolled out uniformly once approved by Corporate
  • Review vendors in an effort to negotiate better rates; combine vendors and standardize across portfolio for price advantages; negotiate contracts along with Operations Team.
  • Assist with the set-up of portfolio purchasing initiatives and establish objectives and communication of these initiatives.
  • Ensures quality control and conformance with defined standards and tracking of maintenance programs, i.e. scheduled maintenance and risk management.
  • Prepare preventative/scheduled maintenance plans (boiler, HVAC, building systems).
  • Assist in the training for all newly hired and promoted Maintenance management.
  • Manage relationships with contractors and service providers.
  • Instrumental in maintaining bench strength of Maintenance employees across all sites.
  • Support operations team with emergency issues and travels where needed throughout portfolio.
  • Communicates all expenses with Director of Property Management.
  • Monitor expenses and control the budget for maintenance.
  • Implement maintenance logs and make sure they are being done daily.
  • Promote and maintain a safe working environment.
  • Understand and follow all Weston policies and procedures.
  • Promote and foster positive relationships with teams across all sites.


  • Preferred multi-location property and/or facility management experience.
  • Superb verbal and non-verbal communication skills
  • Excellent interpersonal relationship skills with strong attention to high standards of customer service and negotiating sensitive tenant-management issues.
  • Comprehensive knowledge of facility systems operations.
  • Preferred Onesite experience and proficient in MS Office and administrative skills.
  • Strong attention to detail and well organized
